The Student Smart Card can used to access various services across campus.

Sport & Books Bursary Award 2009/10 

Queen’s University introduced bursary schemes in 2006/07 for course-related costs, including a Sport & Books bursary, to give additional financial assistance to new undergraduate and PGCE students. For any information on these bursary schemes please refer to the Queen’s website www.qub.ac.uk/2009entry (click on Undergraduate Tuition Fees 2009/10 and then on Student Support).

If you have completed enrolment for 2009/10 and are entitled to a Sport & Books bursary, the bursary will be placed on your student card. An e-mail will be sent to your student e-mail address before 31 October giving details on where you can spend the bursary, and other terms and conditions.

If you have submitted a support application form (PN1 or PR1) to your local Education & Library Board (ELB) but have not received an e-mail by 31 October you can contact Mrs Ethna Kearney (Queen’s Bursary Officer) on 028 9097 2849 (e-mail e.kearney@qub.ac.uk ).  You should only contact the Bursary Officer if you think you may be entitled to a Sport & Books bursary based on the eligibility criteria and you have you have submitted a PN1 or PR1 application form.

Ethna can advise you if your name is on the Bursary list sent daily by the Student Loans Company (SLC) to the University.

If your name does not appear on the current Bursary list, you can contact your ELB and enquire as to the progress of your PN1 or PR1 application.

If your name is on this list, but the income field is blank, one reason may be that you have not given consent to share your household income information on the PN1 or PR1 form.  Both you and your sponsor, as per PN1/PR1 form, (in most cases your mother or father) must contact the SLC helpline and consent to share this information.  This consent to share can be given over the telephone and then the SLC will advise Queen’s of your household income as assessed by your local ELB.

If your name is on the bursary list, but your household income is above the threshold, you are not entitled to a bursary, and will not receive an e-mail.

Management

The My Smart Card application within Queen's Online allows the following functions to be carried out by the card owner:-

  • Adding funds to the card
    • Note that if you want to purchase print credits only the you should follow the instructions inside the red box that apperas when the Add Funds icon is selected ie

If you intend to transfer this money for print credit purposes, bear in mind that it is more cost effective to use the "Purchase Print Credit" Icon on your desktop (or by clicking the link below).
£10 spent using the icon will credit you with 300 pages
£10 transferred from your smard card will only credit you with 200 pages.

Services

Identification
The card is the official identification card for Queen's University. It should be carried at all times when on campus
Library Facilities The bar code on the card allows books etc to be borrowed from the Library. Please note that the card is required to gain admission to the Library at Queen's
  PhotoCopier Reader  
Print & Photocopy

Is enabled by inserting the card in a reader, see above.

Note that using the Smart Card for adding print quota or photocoping will require a PIN to be provided .

When the card is initially issued no PIN is assigned. A PIN is setup on the first occasion that the card is used in a reader . (DO NOT USE 0000 or 9999 as these have a special meaning)

The PIN may be reset using the My Smart Card application within Queen's Online.

If an incorrect PIN is type 3 times in a row the card will be suspended and the PIN will have to be reset

Print

Print quota can be increased by taking money from the Student Smart Card (using a Smart Card reader or from within the Queen's Online My Smart Card application)  or by payment by Credit Card

Notes

For payment from the Smart Card , 4 rates are available:-
£1 purchases 20pages
£2 purchases 40pages
£3 purchases 60pages
£10 purchases 200 pages

For payment using Print Icon on the desktop:-
£5 purchases 125 pages
£10  purchases 300 pages

You can check your print credit by clicking on the £ on the lower right hand corner of the screen

Photocopying

Note Do NOT Lose Money:-

  • When the card is inserted into the reader the system automatically deducts 5p from the electronic purse. If the card is removed before the photocopying is complete the 5p is NOT returned to the card.
    If the photocpying completes successfully the 5p is part of the copying charge.
  • If no photocopying is required press the OK key before removing the card - this will return the deposit.
  • Money remaining on your SSC will remain on the card for use in the following year. For students that will be finishing their course this year there will be NO REFUNDS for money remaining on the SSC at the end of the year/course. It is expected that final year students will manage the use of the SSC to ensure that all stored money has been us
Access control Students resident in Queen's Elms Halls of Residence may use their card for access.
Entry to PEC The bar code on the card will be used for entry to the services and facilities at the Physical Education Centre, Botanic Park
Catering Some of the catering outlets now accept payment using the SSC. During the year all catering outlets will accept payment by SSC

During the year it is expected that additional services may be added to the card.

Please note that for all instances where the card is being used for payment of a service, there must be enough funding on the card to meet the cost.

Uploading Funds on to the Card

To enable print, photocopying and cashless catering to work it is necessary to add funds to the card. The following options will be available:-

Use one of the cash upload machines located around the campus.

Cash upload machines are mainly located near the photocopying facilities in the libraries. There is an additional cash upload machine on the second floor of the Elmwood Learning and Teaching Centre.

Most of these cash upload machines will take £1 or £2 coins. The cash upload machines on the ground floor (room G,087) and third floor (room 3.003) in the Library at Queen's and Elmwood will also accept £5, £10 and £20 notes.

Money Uploader 
 

Note Do NOT Lose Money:-

  • When inserting coins into the cash upload machine the system takes a few seconds to process the transaction and add the money to your card. If subsequent coins are added before the processing has terminated the money may not be added to your card.
  • Money remaining on your SSC will remain on the card for use in the following year. For students that will be finishing their course this year there will be NO REFUNDS for money remaining on the SSC at the end of the year/course. It is expected that final year students will manage the use of the SSC to ensure that all stored money has been use
Through Queen's Online

Money can be added to the card by supplying credit card details over a secure network connection.
Note that the credit card details are held on the secure server of the Payment Service Provider processing the transaction.

Note Money is only transferred to the SSC whenever it is inserted into a card reader.

Care of Student Card

The card is expected to last for the full duration of a student's stay at Queen's and will be reactivated at the start of each year. If the card is lost at any stage then there will be a £10 charge to provide a replacement.

To ensure the durability and validity of the card:-

  • Keep the card in a safe carrying case - credit card wallet
  • Keep the card away from magnets to avoid magnetic damage
  • Do not punch holes in the card
  • Do not tamper with the card
  • Keep the surface clean and free from marks or scratches
  • Do not bend the card
  • Avoid exposing the card to excessive heat
  • Do not wash the card or use it for any purpose it was not designed for

Damage, Lost or Stolen Cards

  • It is important to deactivate and report a lost card as soon as possible. The system records all transactions for a given card. If a new card has to be issued it will contain the balance that was on the previous card at the point that it was reported lost.
  • If you lose your card there will be a £10 charge to provide a replacement.
  • If the card is lost it should be de-activated using the Smart Card Application in Queen's Online or, during normal working hours (9:00 - 17:00) lost or stolen cards should be reported to the Student Records Office (EMail: s.records@qub.ac.uk , telephone (028 9097) 2727)
  • If you are staying in the Elms Halls and use your card for access to buildings you should also report the card lost to the Elms reception desk so that the access rights on the old card can be changed.

  • The barcode on the old card will continue to work in the libraries and PEC.
